Food Vendor Application

The Edmonds Waterfront Festival, presented by The Roary Club of Edmonds, is one of the South Snohomish and North King Counties top special events. It is the Club's primary fundraiser, making donations and support possible to the Homeless Youth Foundation, First Harvest, the College scholarship foundation, South County Senior Center and other chariable causes and events.

The 2018 festival will feature many exciting attractions, including top regional entertainers, improved shuttle service and more parking for the general public. Newspaper and other media resources will be heavily promoting the festival, so the media machine is in place, and we are expecting attendance of 25,000 during the 3-day festival. Booth Layout – The grounds layout is designed with traffic flow and visibility in mind. Final assignment is made at the discretion of festival management. You will be notified of your final space assignment in your Vendor Guidelines packet, prior to the event.

Payment - Check or money order for full payment must be attached to this application to ensure processing. 

If your application is not accepted, your payment will be returned to you. You may cancel if accepted, however, no refunds issued after April 15, 2015 for any reason. *

Requirements - Submit 1 photograph (no slides) of your products and 1 photo of your booth canopy. If you wish your photos, include ample SASE packaging. NOTE: Washington State UBI # required for participation.

Security - The event provides reasonable on-site security, however we accept no responsibility for any losses or damage to persons or property of any kind. Participation is at your own risk (see bottom of application page for details).

Booths - YOU MUST SUPPLY YOUR OWN CANOPY. Your booth must be able to withstand winds and inclement weather and your displays should be adjustable for pavement. Required anchoring must be sand bags or blocks (no stakes allowed in pavement.) Any vendor without a proper set up may be removed from participation without refund.

General Information - The festival’s plans include food, a beer/wine garden, Live entertainment, rides, arts and crafts booths, commercial-import booths, sponsor booths, and a variety of programs and activities. Festival hours are Fri: 3PM-10PM, Sat: 11AM-10PM, Sun: 11AM-7PM. (Festival hours subject to change). Vendors may close their booths at 9PM Friday and Saturday using carts to remove wares. VEHICLES ARE NOT ALLOWED ON-SITE UNTIL GROUNDS HAVE BEEN CLEARED OF CUSTOMERS.

Media Coverage - The festival receives strong publicity coverage in radio, print, TV, and electronic media.

Parking - Limited Vendor parking space is available. Additional parking space for oversized vehicles, such as trailers and RVs, may be available upon request, or for a fee.

Food Booth Location - South parking lot, Port of Edmonds, in beautiful downtown Edmonds on the water.

Please Apply Now - The Application Form below is self-explanatory. All space is subject to the details on the application form. Note - If your trailers tongue or door does not allow us to sell space up to your walls, you must purchase additional space

Processed Applications - You will be notified of the status of your application by May 1, 2018. Upon receiving notification of acceptance, please notify your insurance carrier and have them prepare a Certificate of Insurance naming The Rotary Club of Edmonds, the Edmonds Waterfront Festival, Back of Show Services, Pacific Rim Talent, Inc., and The Port of Edmonds as additional named insured for a minimum of $1,000,000 each occurrence, and send an original of the Certificate to The Rotary Club of Edmonds, P.O. Box 115, Edmonds, WA 98020.

To Expedite - your application and avoid delays, send your check and application immediately. If you have any questions regarding this letter, or completing the application, please feel free to contact me at the address and phone listed below. If, for some reason, your application is not accepted, your application fee will be refunded.

Snohomish County Health Food Permit Application Form – you are responsible for securing all necessary permits to operate your business at the festival. The phone # to the Snohomish County Health Dept. is 425.339.5250 or download forms at www.snohd.org. Be sure to read their instructions carefully, especially with regard to FOOD TEMPERATURE AND WASHING HANDS.

You will receive a Vendor Information and Guidelines Packet, along with any necessary instructions prior to the event (Mailed 2 weeks prior to the festival).

Zero Waste Food Vendor Guidelines

Thank you for participating in the 2018 Edmonds Waterfront Festival! We are proud to be in the fifth year of making the Edmonds Waterfront Festival zero waste. With your help, we can reach our goal of a Zero Waste festival by only distruting materials to the festival visitors that are recyclable, compostable or reusable. The Zero Waste intiative helps minimize the festival's environmental impact and last year an estimated 1000lbs of waste was diverted from the landfill through the new emphasis on composting and recycling.

In 2018, the Edmonds Waterfront Festival is instituting the following Compostable Food Service Policy:

  1. All vendors must use compostable food service ware* accepted by Cedar Grove Composting facility
    *Reusable souvenir cups or buckets are acceptable
    *Recyclable drink bottles or cans are acceptable
  2. Vendors with non-compliant items will be asked to remove them

Basic Guidance for Acceptable Food Service Materials at The Edmonds Waterfront Festival

For specific products, use FSA approved products listed below or verify is acceptable by Cedar Grove Composting facility.

Acceptable Not Acceptable
Paper containers including plates, trays, food boats, napkins, paper towels, and bags that do not have a plastic liner. Cedar Grove has a complete listing. Plastic coated paper products are not acceptable. Many paper products are coated with plastic liners that are not compostable.
Compostable potato, corn starch, or sugarcane tubs, cups, containers, lids, clamshells, utensils (spoons, forks, knives) and straws. Must be on Cedar Grove approved list. Plastic cups, containers, lids, utensils, or straws.
Wooden stir-sticks, chopsticks, toothpicks, and skewers. Must be plain without plastic components. Plastic stir sticks, chopsticks, toothpicks, or skewers.
Aluminum cans, recyclable plastic bottles. Foil drink pouches.
Paper bags and reusable bags. Plastic bags and plastic wrap.
Reusable "souvenir" cups or buckets. Souvenir items must be sufficently durable or unique to be reasonably expected to be kept and resued by visitors. Styrofoam plates, cups, or related service ware.
  Prepacked foods in non-recyclable material, such as chip bags, ice cream wrappers, cellophane and condiment packets.
